Basics
How do I start?
Go to myworkflowww.com
  • Sign in with your username and password
If you are an Employee:
  • You will receive an email from your Administrator with your password details
If you are an Administrator:
  • You will receive an email from myWorkflowww with your sign in details
What if I can't sign in with my username and password?
  • You can reset your password by clicking "Forgot password"
OR
  • You can contact your Administrator to reset your sign in details
What are all the icons on the Homepage?
Click on Homepage icons to apply for specific functions.
What are all the icons on the Taskbar?
Click on Taskbar icons to view or edit saved information.
Who sets up the default settings such as currency, time etc.?
Only Employees assigned with Administrator rights can set defaults.
Do I need to Log Out each time?
No. You will be logged out automatically once you close the page.
How does myWorkflowww Approval system work?
At the heart of the process is an engine that channels your application to all the people who have to process your application. This includes approving managers and departments such as HR, Finance and Admin.
Account
Where do I view my user profile details?
Click on Profile on the taskbar.
Can I change my username?
  • No. It is assigned by your company.
  • myWorkflowww also allows users to use generic domains such as "hotmail.com" or "gmail.com" etc.
How can I change my password?
  • At the Sign In page, select "Forgot Password"
  • Follow the subsequent steps to change your password
Can I delete my account or other user accounts if I am an Administrator?
  • No. All user accounts remain active until the end of each subscription period (this may be monthly or annually)
  • As an Administrator, you can de-activate accounts under User Profile at the Settings page
Does myWorkflowww send out e-mail notifications?
Yes, there are 2 types of email notifications
  • Manager email notifications are sent to approving managers every time an application is submitted by their team member
  • End of day email notifications are sent out to users selected to receive notifications of all applications that have been submitted on that day. Emails are sent out according to a time selected by the Administrator

What are the functions that I can apply for?
There are 3 categories of functions that users can choose from
  1. Time Management functions include Business Trip, Leave, Overtime, Time Track and Attendance
  2. Personnel Management functions include Directory, My QR Code and Reports
  3. Expense Management functions include Daily Expense, Medical Expense, Travel Expense and Payroll

Click on a selected icon on the Homepage and fill in the application form.
What happens after I submit a request?
Just like in the paper-based world, your approving manager will receive your application and your application may be approved, rejected or returned to you.
When do I need to upload attachments?
This will depend on your company’s policy on whether you need to provide documentary evidence.
What happens when my application gets rejected?
This will be reflected in your Summary under My Requests. You can resubmit a new application.
How do I use the Calendar function?
Switch between your Personal calendar or your Company calendar. Each icon is an application that has been submitted. Click on the icon to view specific details of the application.

How do I download the myWorkflowww mobile app?
The latest version of myWorkflowww iOS app and myWorkflowww Android app will be shared with all user accounts through email.

Payment & Setting Up
How do I pay for my account?
For the moment, we accept payments through PayPal and AliPay. Alternatively, speak to us about a signing on to a service agreement.
How do I renew my subscription?
Subscription renewal will take effect automatically on the 25th day of every calendar month. myWorkflowww is a monthly subscription-based service. Payments through PayPal or AliPay will be made on a standing order/direct debit basis.
What happens after payment details are provided?
You will receive an Account Confirmation e-mail from the myWorkflowww Service Team. You will be requested by the Service Team to provide your company’s basic employee details in a standard setup template for service initialisation.
How is my company's basic employee details synchronised to the service?
After the completed setup template is submitted, you will receive confirmation once data integration to the server has been completed (normally within 3 working days). The Service Team will share all employees' sign in and password details with your company's assigned Administrator.
Do I need to define any categories/settings before use?
First time users can either start with the predefined settings or choose to define individual preferences. These settings will be filled in by your company’s Administrator in the standard setup template document. Defined settings include basic information that myWorkflowww requires in order to customise functions according to your company’s requirements. These include:
  • Defining your User, Approver and Administrator roles within the company
  • Defining your Company Settings such as country of operation, default currency, default calendar
  • Defining your Team Structure such as departments, job titles and job grades
  • Defining settings for specific functions such as leave days, expense limits and approval flows

How secure is myWorkflowww?
All workflowww data is hosted on Amazon Web Services. As a service provider, myWorkflowww strives to adhere to market best practices in order to ensure our customers' data privacy is protected.

All data transmission on myWorkflowww is secured by 256-bit encryption from VeriSign/Symantec, which has over 44% of the global market share for secured network communication (SSL) provided to major banks and corporates.

Does myWorkflowww keep backups of my files?
myWorkflowww keeps backups of customers' files through the Amazon Web Service infrastructure.

Is there a myWorkflowww user guide available?
Yes, all company Administrators are provided a soft copy of the myWorkflowww User Guide. This can be circulated to all users.
How can I get technical support if I cannot resolve a problem?
